Set up your email account in MailCraft
For most accounts, your email address is all MailCraft needs: it finds the servers by itself. A few providers want an app password — a separate password made just for mail apps — and this page shows where to get one.
The basics
- Open MailCraft and choose Add account… (the gear at the top right, or the welcome screen).
- Type your email address and your name (shown on mail you send).
- Enter your password — or the app password your provider gives you, below — and choose Connect.
Your password stays in your computer's keychain (Windows Credential Manager, macOS Keychain or the Secret Service on Linux) and only ever goes to your own mail server. Tick Online only to keep none of the account's mail on this computer.
Gmail and Google Workspace
Google doesn't accept your normal password from mail apps. Use an app password:
- Turn on 2-Step Verification for your Google Account, if it isn't on.
- Go to myaccount.google.com/apppasswords, create one named “MailCraft”, and copy the 16 letters.
- In MailCraft, enter your Gmail address and paste the app password.
Where your copy of MailCraft offers Sign in with Google, you can sign in through your browser instead. On a work or school account, your administrator may have to allow mail apps.
Outlook.com, Hotmail and Live
Microsoft no longer accepts passwords from mail apps for these accounts: use Sign in with Microsoft, which opens your browser. Two things to check if it doesn't connect:
- IMAP is off: in Outlook.com, go to Settings › Mail › Forwarding and IMAP and turn on Let devices and apps use IMAP. Or choose Use Microsoft Graph in MailCraft, which reaches the mailbox without IMAP and brings its calendar and contacts too.
- The browser signed in as someone else: a browser already signed in to Microsoft picks that account. Sign in again with the right one.
Microsoft 365 (work or school) and Exchange
- Microsoft 365: use Sign in with Microsoft, or tick Server settings and choose Exchange (Microsoft 365). Mail, calendar and contacts come through Microsoft Graph. Some organizations require an administrator to approve a new app first.
- Your organization's own Exchange server: tick Server settings, choose Exchange server (EWS), and sign in with
DOMAIN\useror your email address. MailCraft finds the server with Autodiscover and brings mail, calendars, contacts and shared mailboxes.
iCloud Mail
- Your Apple Account needs two-factor authentication (most have it).
- At account.apple.com, open Sign-In and Security › App-Specific Passwords and create one for MailCraft.
- In MailCraft, enter your iCloud address (
@icloud.com,@me.comor@mac.com) and the app-specific password.
Yahoo Mail
- In your Yahoo account's Account security page, choose Generate app password and create one for MailCraft.
- In MailCraft, enter your Yahoo address and that app password.
Fastmail and other JMAP providers
Fastmail works over IMAP with an app password from its Privacy & Security settings. MailCraft also speaks JMAP, the modern email protocol: tick Server settings and give the provider's JMAP session address — for Fastmail, https://api.fastmail.com/jmap/session.
Any other IMAP or POP account
MailCraft looks your provider up in its published settings (autoconfig), the shared database of mail providers, and your domain's DNS records. If it can't find them, tick Server settings and enter what your provider lists — typically:
| Server | Port | Security |
|---|---|---|
| Incoming (IMAP) | 993 | SSL/TLS |
| Incoming (POP) | 995 | SSL/TLS |
| Outgoing (SMTP) | 465 or 587 | SSL/TLS or STARTTLS |
POP accounts keep their mail in folders on this computer (and can start from an existing .pst); IMAP keeps everything in sync with the server.
If it won't connect
- “Authentication failed” or “invalid credentials”: the provider most likely wants an app password, above, rather than your normal one.
- A work account: your organization may block mail apps or need to approve MailCraft.
- Still stuck? Open an issue with your provider's name and the message MailCraft shows (never your password).
